2. Who can set up a user account?
Anyone. The only proviso when
setting up an account is that it’s for a real person and is based on their
actual details. Any accounts created using other people’s names for no reason
or for people who don’t exist will be deleted.
3. Can I set up a user account in someone else’s name?
You can if they’re a client or business partner. This is the kind of account you should use if you or your company wants the person in question to take part in evaluation or provide feedback on projects. The person you set up the account for has completed control over it.
4. Is there any way of storing other people’s contact details without them knowing about it?
Yes. You can store the contact details of your clients and business partners in the system's telephone book. When you enter them, you can choose whether or not to send them to the people in question for them to check that they’re correct. If you do send them, the person in question can change them, and they will have a system-based account created for them.
5. How are organisation profiles set up in the system?
Profiles are set up for organisations (i.e. companies, third sector organisations and other agencies and institutions) in one of two ways. 1. If the organisation itself is a client, a full and fully checked profile is set up for it. 2. If users enter the details of a company via its employees, the profile is set up virtually and based on the information the users have entered. If the organisation in question then wishes to become a client, some of its details will already be recorded and set-up will be quicker.
If it can be shown that an organisation's profile was set up in the system by people who did not have the right to do so, the profile will be subject to deletion, as will the account(s) of the person or people responsible for setting it up. Decisions in such matters are made by the service provider.
6. How is it possible that some details have already been filled in the first time I log in?
If this is the case, it means that the details have been entered by other users. They may also have filtered down from previous projects or other activities you have been involved in.
7. How safe is the system?
System security is guaranteed by the latest technology. The confidentiality, integrity and availability of data are ensured. Bear in mind that the system’s primary authentication channel is your e-mail address, so make sure your settings are secure, and don’t reveal them to anyone.
8. How often is the system backed up?
Regularly. The risk of data loss is as small as it possibly can be.
9. Are there data limits?
If your profile is not linked to any company or organisation, your initial data limit is 20 Mb. If you exceed the limit, you pay a token fee. Data limits for companies are based on the general terms and conditions or are agreed separately.
10. Do you delete accounts?
Accounts that have been inactive for a long time are archived before eventually being deleted. However, accounts are only deleted if users have breached the general terms and conditions – set up accounts with false data, distributed inappropriate information via the site or behaved unacceptably towards other users. In such a case, the service provider decides whether to delete the user’s account.
